Budget
No positive budget as all costs have been out of pocket from the board, once membership fees are collected, reimbursement will be made and monthly financial reports will be presented.
Jon and Karin will go and open a bank account. Hoping the account will accept Zelle payments for membership dues.
Agenda Items
Meeting with Ownership
Karin and Mike were asked to attend a meeting with ownership. Ownership is ok with us having a booster club, but the concern is that we would not put them, and the team in a positive light. In the previous season, there was some concern from management about the activity posted on the Skull Nation group social media page. It was full of negativity, rumor mill speculation and a lot of negative talk. If we are to move forward, everything we do needs to be in a positive light, for us, ownership, and for the
team.
We will be posting some guidelines in the Booster Club Facebook group. If what our members post is in violation of the guidelines, they will be removed from the social media group.
Ownership wanted us to know that we may help our players, however, there is to me NO financial support for any player/players, owner(s) or any employeeA(s). This would be an IFL violation.
We are all to understand that we cannot force the player to attend any of the events that we plan for them. If there is an event that we really want them to attend, we can ask Cathy Guy to help get the players to attend one of our functions.
Information for us to be aware of, Kevin and Cathy Guy run the business side, Billy runs the football side. They will be working on getting us a liaison for the team. We do have permission to reach out for Cathy Guy if we need anything. They have asked to receive monthly communications from our group at least once a month.
They are also checking to see about the legality of us using the Sugar Skulls official logo.
Cathy did mention that we can have a table in the concourse for membership and drives

The group agreed that with the table on the concourse, we would have representation before home games and during halftime to allow our members the opportunity to watch the games.

We are set up as a non-profit, but not for tax non profit at this time. This means that we cannot do our own 50/50 raffle..
We need to add onto our existing form and change addresses for board members.
Forms
Angelica will convert the paper membership form to a Google Form to allow people to sign up via their mobile or via laptop as long as they have the link to fill out the form.
Decision regarding fees was made.
$35 for an individual membership
$45 for a family membership for 2 to 4 family members
$10 for each additional family member for families more than 4
Membership numbers will be in the following format: 0001, 0002
1st 7 member numbers will be reserved for board members
Conflict of Interest
All members will be required to fill this form out. It clearly outlines what can be considered conflict of interest
Release of Liability Forms
We can adopt a player but we are not required to adopt all players, Coach cannot tell us that every player has to be adopted in order for us to do this.
As such, a release of liability form must be signed by the player who is being adopted and the member who is sponsoring them.
There were talks of having multiple potlucks during the season by the coaching staff, this is not ideal as we (volunteers and other session ticket holders) have been covering the costs. Originally the coach wanted them for every home game. We discussed having one at the beginning of the season, one midway and the end of session.
There was a suggestion that the end of year potluck be held at the player’s apartment since it has grills and it is easier for the players to attend.
There is a planned BBQ for all season ticket holders on 3/23.
General Membership Meeting
We will have a general meeting for members to fill out membership forms and pay fees.

Welcome
Karin welcomed the group and gave a quick summary of the meeting she and Mike had with the team owners and leadership. She let the group know that our team liaison is Yasmine and that we have requested something to raffle off based on our options.
Reminder that we may NEVER give a player or coach any cash.
Let the group know that there is too much negativity on the social media pages. People are seeing it; we need to watch the negativity that is being posted.

Bank account is with Vantage West, and we cannot use Zelle. We will be using PayPal to collect online payments.

Release of Liability Forms
Spoke about the release of liability forms, each person who wants to adopt a player must sign one of these forms.
Apartment Boxes
We will need to make baskets for 25 players and 6 coaches. It was decided that we would also make apartment boxes that would include basics such as paper towels, detergent, dish soap, brooms, etc.
There was a discussion on pitching in donations or creating individual basket donations. Most in attendance agreed on putting money towards purchasing items from Costco to create multiple baskets. If somebody wants to commit to creating their own basket for donation, that is acceptable.
The goal is to meet prior to the season ticket BBQ scheduled for 3/23/2025 and then distribute the baskets to the players at the event. This will show the other season ticket holders what our group does for the team and encourage them to sign up. We will be accepting membership forms and payments at that event.
Training Camp BBQ
Cooch has requested a BBQ for 3/16/2025 and another one midseason (around 6/8/2025). The location of the mid-season BBQ will be at the player’s residence complex.
Volunteer Sign Up During Games
We will have a table at all home games for Booster signups. We are looking for volunteers to man the table before kickoff and then during halftime.

Eric and Christina Bristol have both resigned from the Board and Boosters to pursue other volunteer responsibilities.
We need somebody to fill in for events and community outreach.
Right now Ali Reynolds is helping with events. All members voted to name Ali as officer for events
Budget
We have achieved over $1000 in membership fees. Karin and Mike agreed to use funds from the account to purchase burger patties for the BBQ. $198 was spent. Nicole has given $100 to help purchase the patties
Reminder: we do pay $5 a month in bank fees in order to have a bank account.We have $630.02 in the Checking account and $421.05 in the Savings account.

We currently have 24 memberships, 16 are family memberships for 37 people
Golf Tournament
We are looking good for the number of sign ups for the Golf Tournament. There are limited spots so if anybody knows anybody who is interested in playing, please encourage them to sign up soon.
We have 16 teams signed up so far and are expecting about 100 people.
Ali will be reaching out for volunteer helpers soon.
It is expected that the golf tournament can bring in about $2000 - $3000 for the Booster Club.
Volunteer Sign Up During Games
For the NAZ game, we need more volunteers to work the table pregame and during half time. Mike is working the table every game.
Angelica suggested looking at membership signups to see who marked that they were interested in volunteering in working the table.
Upcoming Events
Players send off for the Rattlers games, we will not be making large snack bags since they are traveling to Phoenix, but we do need volunteers to bring drinks.
Other Business
Carl bought up using Robert’s rule of order. Per discussion with members present, we will not be using Robert’s Rule of Order unless we need more structure during our meetings.

Treasurer's Report - Mike M
Copies of the financials were available for people to review and take with them
Amount in account is $884.39
This does not include funds raised from the Golf Tournament and Silent Auction events. Today’s catered event has been deducted from our funds.
We do have 1 outstanding expenditure, we need to pay Karin back for the initial deposit to create the Booster bank account for a total of $105 ($100 to open checking account, $5 to open savings account)
Karin will submit a receipt for $85 for the cake that was purchased for the event,
Membership
We have 25 families/60 people enrolled as Boosters.
Renewal membership fees will increase by $5 for each group, fees will not be increased for the $10 additional family member after 4 people.
All new membership effective 7/19/2025 will be valid for the 2026 season and will expire on 12/21/2026
Early renewals, if a member renews prior to 12/31/2025 for the next season, they will receive the current pricing structure.

Booster Officers
Due to Jonathan Brubaker’s early resignation in the year, Mike has been acting as VIce President and Treasurer. Due to financials having his name, he is going to focus on being the Treasurer. We need to elect a new Vice President.
Vice President election
Ali Reynolds nominated Scott Toot as Vice President and the nomination was approved by all members in attendance,
A new position of Event Coordinator was created for the hard work that Ali Reyenolds has been doing and it became official as a board position,
Term of Office
After discussions, it was decided that terms for all positions would be for 2 years. Karin and Angelica have already had 1 year as President and Secretary so those positions would be up for election in 2026. If nominated, they can run again for consideration.
Vice President, Treasurer, and Event Coordinator will be up for election in 2017 unless one of the members resigns.

Golf Tournament Updates - Ali R
We were hoping to get 18 teams for the tournament and we ended up with 28 teams signed up. We made about $18,000 with the sign up fees and after expenses (paying the venue, purchasing raffle items and other expenses, we made about $2000.
Some of the expenses allowed us to get ahead for next year’s tournament which we are hoping will be held in March 2026.

When we played in San Antonio, the announcer made a shout out to our booster club. As a result of this, Mike was invited to speak on a podcast. The Beaumont Renegrades reached out to Mike on how to get a booster club started for their team which was established on 7/19/2025
Upcoming
Bus to Las Vegas
Collecting drinks and snacks to send the team off on Friday. Karin to send finalized time via email and Facebook once everything is confirmed.
Anything else?
It was suggested to create a registry (Amazon, for example) with a list of items needed for the player baskets, apartment boxes that people can start purchasing for the next year.

Fundraising
- Golf Tournament Updates – Date is set for 3/28/2028 at Quarry Pines Gold Club. Donations are already being collected. Flyers sent out. The tournament is scheduled for the day before the game opener; Edmund, Coach and Bones will appear at the tournament. Discussion about having some players show up at the end to help hand out awards.
- Nate is asking if the board is willing to put money in for goodie bags, $1000 – $1500 is being requested, Tshirts will be part of the goodie bags. Board approved to provide funds, requested to know what the official amount that is being asked from the board.
- The board approved a motion for Ali to make business cards for her community outreach role.
- Dining out options – A small portion of funds from meals purchased would go towards the Boosters. Something to keep in mind at these events, we need to have people available because we would only receive funds if the patrons state they are supporting our cause. Restaurants could include Olive Garden, Panda, etc
Player Baskets/Apartment Boxes
The Booster’s Amazon wish list "Boneyard Booster” has not had anything purchased so far. We need to post it back on the FaceBook page for what we need so people can purchase during the holidays if they would like to help out.
Other Season Update/Next Year
New Ownership/ Opportunities
- Met with Edmund, every away game the team is provided with 50 tickets. Each player can get 2 tickets. If the players don’t use the tickets, they may become available for Booster members.
- Increasing the quality of the food at the TCC.
- Sound system - Edmund is trying to bring in a game day manager.
- Suggestion of using Corbett’s as a watch party venue and a place to hang with the players.

- Table – We can sell merchandise as long as it is not food related.
- Ali will take a look at ideas.
- Bus trip
- Bus trip to Rattlers game.
- There is a lot of interest. Still need final pricing; about $45 a person for the bus. Mike is working with Edmund on bus details.

- Rattlers group tickets rates are $25 for section near the team. Group rate is for 25 people or more.
- We would offer at cost pricing for Booster members, approximatively $75 a person.
- Higher price for non-booster members.
- For a package that would include a bus (ride up and ride back), T-shirt, and food, the ticket would be about $100.

- Team Related Items:
- 3/1/2026 – 3/7/2026 are try outs.
- 3/12/2026 is player move in day – requesting queen size bedsheets, pillow, shower curtain and towel rack for initial move in.
- Practices will be held from 9:30 AM – 11:30 AM.
- When the weather gets hotter, time will change to 8 AM - 10 AM.
- 3/22 BBQ – last day of camp, practice ends at 11:30. Set up at 11:00
- 3/18 around noon, plan for 30 min to talk with the team. Bring some gatorade, healthy snacks
- We will create a letter for Walmart to request donations: sheets, curtains, pillows.
- Discussion about fan experience as an auction item, Coach reiterated that the player should be compensated for their time.
- Ali bringing up a conversation that she had with Billy – what kind of stuff would the guys need? Additional practice meals are being requested, Tuesdays and Fridays are covered. They need Wed and Thursday practice meals.

Per Edmund, the Boosters will be able to be on the field for play intro, 10 members each home game. Talked about getting the members who work at the team table before kickoff and during halftime during home games to be on the field the following home game.
Angelica still needs the verbiage from Ali to put on the membership enrollment about members’ behavior during games.

Fundraising
Golf tournament
Nate has purchased stuff and didn’t want to wait for money from the Boosters.
Discussion about the location of the tournament, word is concerning how many teams have signed up and whether it is too expensive for people who want to play.
Angelica suggested that a meeting is scheduled within 2 weeks for Nate and Ali to provide information and address some concerns that have come up.
Scott to ask Ali and Nate if they can meet on 2/12 - Thursday.
Player Baskets/Apartment Boxes
Scott requested a 501c letter to go to WalMart to purchase items.
Karin to provide a generic letter.
Coach has asked the Boosters to concentrate on purchasing the following prior to the players moving into the apartments.
- Sheets
- Pillows
- Shower curtains
- Shower rings
Access to the Seasons apartments will be on March 1st. Board members will see about getting with Karin to stock the apartments for the guys (8 sets of dinnerware)
Players may be reaching out to the Boosters for information on finding jobs.
Suggestions:
A-Team security or Circle K have apps where people say what shift they want to pick up.
Application to sign up for shits = ShiftSmart
Other Season Update/Next Year
We can’t sell merchandise at our table at the games due to an exclusive contract the team has signed. Question to go out to find out if we can sell raffle tickets.

Bus Trip
We need at least 50 people to attend; tickets are blocked out for the Mother’s Day game at the Rattlers.
We are trying to use the same bus company as the team,
Lunch - Mother’s Day conflict. Restaurants near the arena are booked up and would not be able to accommodate a large group. Talk about a box lunch idea was made.
After further discussion, there were talks about doing the bus trip for the July 9th game instead of Mother’s Day. This would allow us to put feelers out there during home games and put a sheet on the table for people who were interested in attending.

The meeting was called to order at 10:02 AM.

Board Introductions:
Board members in attendance introduced themselves and the position they held.
Treasurer's Report - Mike McCall
Copies of the latest financials were passed out to each member.
Total cash = $4059.37, after costs from the BBQ, the total should be reduced to about $3800.00, we spend about $349 for the event.
Most of the money came in from memberships.
Taxes have been filed for the 2025 year.
Membership
- 16 total renewals.
- Scott asked members if they are ok with sharing contact information to the members of the team. All agreed and a notepad was provided for people to add their information.
- At the Season Holder meet and greet, we will be available for new sign ups or renewals.
Current Calendar
- Copies of the calendar were shared with all members in attendance.
- Volunteers are needed for the Gold Tournament and working the Booster table at the home games.
- At the first home game a tribute will be made for season ticket holder #1 Richard Bristow who passed away last year. 9 members of the family will be on the field for player introductions.
- Open Practices:
- Coach has stated that when we have HOME games, practices will be open on the following days:
- If the game is on a Sunday, Friday’s practice is open.
- If the game is on a Saturday, Thursday’s practice is open.

Fundraising
- Ally and Nate are both not here to talk about the Golf Tournament.
- We are open for suggestions on fundraisers, all ideas are welcome.
- We are working with Wal-Mart to see about asking for donations for the team’s bus trip snacks.
- This year the bus will be picking up the guys from the apartments (The Seasons) on Wetmore and 1st.

We will be assembling them after the meeting.
We currently have a wishlist on Amazon, and will be updating it with needs as the team lets us know what they need.
Other Season Update
- Adopt-a-player; this year we will be limiting one player to each family
- Each participant (family and player) will need to sign a liability waiver in order to participate.
- We are asking that as a minimum, you feed your play once a month.
- If you plan on attending away games, we can get tickets and be seated near the team. The exception to this is for the Rattlers games.
- Please remember that events can be planned at the last minute, it is all based on the team’s availability , practice and other commitments the team must attend.
Up Coming
- The May 10th game against the Rattlers is on Mother’s Day so we will not try to do a bus trip for that game. But we can get discount tickets to the game. We (the Boosters) are not making money off this, you purchase the tickets straight through the Rattlers. The tickets are about half off. QQ code provided at the meeting.
- We are thinking about doing a bus trip in July for the Rattlers game, in the works as the price of Diesel is going up and that may impact the price of the package we are offering (bus trip to and from Phoenix, ticket to game and a possible stop at the new Buckee’s)
- Mid Season BBQ - Date to be determined as well as location
Code of Conduct
Last season an incident occurred and we need to ensure all of our members behave accordingly at away games. If something happens, the board will talk about the incident and then make a decision. Once a warning has been issued, on the next incident, your membership will be revoked and you will not receive a refund. All members attending agreed to the Code of Conduct policy.

Dietary restrictions are shared in generic form, due to privacy of the player. But will be
shared with the adopter
More regular Board and General Meetings. Board Monthly during the Season and
General 1-2 between BBQs. Not always have General meeting associated with BBQs
Players are asking about Pots/ pans and Garbage cans. Garbage cans were provided
initially but may have been mistakenly thrown out. Pots and Pans will be in Apartment Boxes
next year, we hope. If adopter wants to provide, that is awesome.
Coaches have the current extra inventory to share with players. New inventory will build
after the end of the season and needs to be stored in temperature-controlled storage. It has
out grown Karin's extra bedroom.
V Golf Tournament
A. Communication - multiple opportunities were afforded and assumptions were made
that caused a number of issues. The Chair runs the event. Need to centralize to a
committee and the Chair.
B. Receipts - We are now a 501c3 and have to do a better job of tracking our expenses
and income streams. Need a Separate but connected account specifically for the
Tournament. Need a Budget up front and final reports. Ali will follow up with
Quarry Pines. This will apply for the Board and All events moving forward. May look
at Hughes Credit Union as they are connected to the Team.
C. Other Problems/ issues
Purchase/ acquire a Square for some other form for payments. Over $500 was lost to
Stripe fees.
VI Next Home Game - list for who works Promotions and the Table. Who goes on the field.
VII Committees

We will start using Zeffy for new membership signups, collecting membership fees, and collecting funds for fundraising campaigns. We will be performing a test to see how the automatic membership cards look. Mike and Ali will be the testers for membership cards.

We finished last year with 69 people. As of today, we have 38 new members with a total of 89 members for the 2026 season.
IV Website - Ali
We have a new website for the Boosters that is almost ready to launch. We will be posting a calendar of events who is going to be on the field, who is working the table, and our team Amazon wishlist. Please send any pictures you have with the team to Alicia. Goal is to publish the website by this Friday.
V The Chamber of Southern Az – Karin and Scott
We were approached about joining this organization, offering us connections with others. There is a monthly meeting with contractors and organizations within Southern Arizona. $45 to attend this functions to get our activities out to other organizations. Karin will be attending the June breakfast but we should start attending if we have the availability.

20 percent of all sales excluding alcohol sales will come to the Booster Club. We can also set up another fundraiser for 2027 in Feb or March.
Silent Auction(s) Mike Jones Jersey has been won. The winner has been contacted but they have not reached back so we are going to consider it not claimed: so it will go to the next bidder.
We do have 2 more Game worn jerseys to auction as fundraisers
We also have a 2019 inaugural signed football for auction.
